Job Overview

We are seeking a detail-oriented, highly skilled and organized Administrative Bookkeeper to manage day-to-day financial transactions, administrative tasks, and office support functions. The ideal candidate will ensure accurate financial records, maintain organized administrative systems, and contribute to the smooth operation of business operations. 

Responsiblities

Bookkeeping Duties

  • Record daily financial transactions using FreshBooks accounting software.
  • Maintain accurate general ledger accounts, journals, and reconciliations.
  • Process accounts payable and receivable, ensuring timely payments and collections.
  • Perform monthly bank, credit card, and account reconciliations.
  • Assist with payroll processing and ensure compliance with tax reporting requirements.
  • Prepare and submit sales tax filings as applicable.
  • Support month-end and year-end close processes.
  • Generate financial reports such as profit and loss, balance sheet, and cash flow statements.
  • Maintain monthly budgets, variance and expense reports.

Administrative Duties

  • Manage filing systems, especially digitally using google drive, ensuring financial documents are easily retrievable.
  • Schedule appointments, meetings, and coordinate office supplies and vendor services.
  • Handle correspondence, emails, and incoming calls professionally.
  • Maintain and update client and vendor contact lists.
  • Assist with budget preparation and cost control tracking.
  • Perform general office duties to support smooth business operations.

 

Skills and Qualifications

  • Proven experience as a bookkeeper, administrative assistant, or similar role.
  • Bachelor’s degree or recognizable certification in Accounting, Business Administration or similar role.
  • Proficiency in FreshBooks accounting software (this is MANDATORY)
  • Proficiency in MS Office Suite (Excel, Word, Outlook).
  • Knowledge of basic accounting principles and practices.
  • Strong organizational and multitasking abilities.
  • Excellent attention to detail and high level of accuracy.
  • Good written and verbal communication skills.
  • Ability to work independently and maintain confidentiality.
  • Familiarity with cloud-based document storage such as Google drive and SharePoint.
  • Prior experience working in a remote setup.

  • Must be setup to work remotely
  • Must have a working laptop with valid Microsoft license.
  • Strong internet connection required to work for this role
